What is Google Workspace Individual and how does it work?

Google is making changes to its productivity suite again, and some of it may cost you. Here's what you need to know.

Google offers four different Workspace plans, though only three are relevant to most people. There's Starter, Standard, and Plus, as well as Enterprise, which is only available if you contact Google's sales team. There is no minimum number of users on any of the plans, but the bottom three options (Start, Standard, and Plus) support up to 300 users. If you need more than that, you need an organizational plan.

Although you get access to all the plans regardless of the plan you choose, there are some important differences, especially between the Starter and Standard plans. Both come with secure storage via Google Drive, but the Starter comes with 30GB per user while the Standard comes with a whopping 2TB per user. In addition, the bumps have up to 5 terabytes per user. In all plans, storage is shared in a pool, so each additional user adds to your organization's storage total.

Gemini is also a big difference between Starter and Standard. Although both have access to the Gemini app, Starter only has Gemini in Gmail and Vids. Standard (and Plus) includes Gemini in the full suite, including Docs, Sheets, Slides, Drive, Meet and Chat.

Google Gemini can summarize your emails in Gmail. Should you use it?

AI can deal with your mountain of email so you don't have to. Here's how to decide if Gmail's new productivity feature makes sense for your workflow.

Starter is a great option for anyone just starting out, whether you're a freelancer or a small business with a few employees. In addition to 30 GB per user and limited access to Gemini, Starter comes with a few other limitations. It doesn't support electronic signatures in Docs or advanced Meet features like noise cancellation. However, Workspace's bread and butter is all here. You get a custom domain in Gmail, up to 100 participants in Meet, and the full suite of Google productivity apps.

Standard, as the name suggests, Workspace is convenient and built for teams that need space to grow. This clearly shows in the storage space, from 30 GB to 2 TB per user. Standard basically reduces all the red tape on Starter. There's no limit to Gemini (it's available in the full suite), Meet features like noise cancellation are available, and you can host up to 150 participants in a Meet call. Standard even comes with extended access to NotebookLM, Google's AI-powered note-taking and research tool, with multiple chat modes and up to 20 productive audio overviews per day.

At the top of this range is Plus, which focuses on larger businesses. You don't get any extra apps with this plan, but you do get 5TB of storage space per user with up to 500 participants in Meet calls. However, the real reason to upgrade to Plus is the security and administrative controls. It includes Vault for data storage, along with LDAP access - basically a server for centralized account management, if you're not familiar.

Most people should stick with the standard plan, not only for the large amount of storage space on the Starter, but also because of the extra performance of the Gemini. If you need to upgrade to Plus, you can. And chances are, you'll have a member of your IT team doing this.

Why do teams love using Google Workspace Flow with Google Workspace?

Google has been updating Workspace a lot over the past few months, rolling out new capabilities across the suite through Gemini. But earlier this year, Google announced that it would bring all these capabilities together through Workspace Flows. It's a no-code automation tool that lets you build automated workflows. For example, update a tab when there is a new email from a specific address in Gmail. However, the cool thing about Flow is that Gemini is built into it.

You can set up basic automations, which is great considering how Google Workspace apps are already connected, but when you throw Gems into the mix, Flows become powerful. Gems are AI agents built with Gemini that you can create with specific parameters.

Let me give an example. Say you need a marketing plan and an employee will send you a draft. You can set up a workflow with Gem trained on campaign budgets, requirements, and tone to quickly know if it can be approved. Or, you can create a Gem to scan your email, trained on your org chart and role responsibilities, to notify you whenever you receive an email that has action items for you.

Flows give you a way to add some context and reasoning to the often rigid constraints of simple automation systems, and they can save a lot of time in the process. For example, you might be able to collect customer feedback and put it easily into Sheets, but Gemini can automatically sort, summarize, and categorize feedback so you know what to tackle first. Streams are also centralized in the Workspace. You don't need to install any plugins or configure anything outside of setting up your Workspace account.

Google Workspace Flow is a new tool integrated with Google Workspace. It's powered by Google's Gemini AI and helps you get things done with Gmail, Docs, Sheets, Calendar, and Chat. Can modify emails, schedule, correct sheets, or write a follow-up message. No app or link required.
